Set up an email signature in Outlook

Add your name, job title and logo to the bottom of every email, on both the desktop app and webmail.

Outlook now comes in two flavours — the classic desktop app and the newer Outlook for Windows / web version. The steps differ slightly, so both are below.

  1. Classic Outlook desktop

    Click File, Options, Mail, then the Signatures button. Click New, give it a name such as "Main", and type your details in the box below. Use the picture icon on the small toolbar to insert a logo.

  2. New Outlook and Outlook on the web

    Click the gear icon, then Accounts, Signatures. Create your signature and use the dropdowns underneath to set it for new messages and for replies.

  3. Set when it appears

    In the Choose default signature panel on the right, pick your email account, then select your signature for New messages and for Replies/forwards. Many people use a short version for replies.

  4. Keep the logo sensible

    Resize the image to about 150 pixels wide before you insert it. A full-size photo makes every email a megabyte and often gets flagged as an attachment.

    Tip: Avoid putting your signature entirely inside one big image — screen readers and blocked-image settings turn it into nothing.

  5. Add a link

    Highlight your website address in the signature box, press Ctrl+K and paste the full https:// address so it becomes clickable.

Common questions

My signature is on my desktop but not my phone.

Signatures set in the desktop app are stored on that PC only. Set one separately on the phone app under Settings, Signature.
